Stopping lost quote requests in trades businesses

Trades businesses usually lose quote requests in three places: the enquiry isn’t seen quickly, it gets lost among phone, email, text and social messages, or a quote is sent and never followed up. Fixing those comes down to a simple system: one place where every request lands, a fast acknowledgement, the right details collected up front, and a reminder when a quote goes quiet. None of it requires working longer hours.
This article covers where quote requests go missing and practical ways to stop it.
Where quote requests go missing
They aren’t seen in time
A homeowner with a leaking roof or a broken hot water system often contacts several businesses at once. If you’re on a job and the enquiry sits unread until the evening, another business may already have called back.
They’re scattered across channels
Enquiries arrive by phone, voicemail, text message, website form, email, Facebook and Instagram. When they live in different places, some are inevitably missed, especially the ones that arrive during a busy day.
Important details are missing
A message that just says “can you quote on a job?” needs a round of back-and-forth before you can respond properly. Each extra step is another chance for the customer to move on.
Quotes are sent and forgotten
A quote goes out, the customer doesn’t reply, and nobody follows up. Some of those customers were still deciding, and a single check-in may have been enough.
Put every enquiry in one place
The most effective change is making sure every request ends up in a single list you check, whatever channel it came from. Depending on how your business works, that might be:
- A CRM that captures website enquiries automatically
- A job management system your team already uses
- At a minimum, a shared inbox that every channel forwards to
The goal is that you can see, at any moment, every open request and what stage it’s at.
Acknowledge quickly, even if you can’t quote yet
You can’t always quote on the spot, but you can let the customer know their request arrived. An automatic reply to website enquiries can:
- Confirm the message was received
- Tell them when to expect a call
- Ask for anything else you’ll need, such as photos of the job
This sets expectations and makes it less likely they’ll keep contacting other businesses while waiting. Keep the automatic message honest about timing: don’t promise a call-back time you can’t meet.
Collect the right details up front
A good enquiry form on your website saves a round of phone tag. Ask for what you actually need to quote:
- Name, phone number and suburb
- The type of job
- A short description of the problem
- How urgent it is
- The option to attach photos
Keep it short. Every field you add is a reason for someone to give up partway through, so only ask for what genuinely helps you respond.
Follow up on quotes that go quiet
Many quotes that aren’t accepted were never actually declined; the customer simply got busy. A consistent follow-up routine helps:
- Track every quote you send, with the date and value.
- Set a reminder to check in after a few days if you haven’t heard back.
- Keep it simple and helpful: ask whether they have questions, rather than pushing for a decision.
- Close the loop by marking quotes won or lost, so you know where you stand.
A CRM can automate the reminders so this doesn’t depend on memory. Our article on what a CRM actually does for a small business explains how.
Make it easy to reach you in the first place
Some enquiries are lost before they’re sent. Check that:
- Your phone number is easy to tap on a mobile
- Your website has a clear “Request a quote” option on every relevant page
- Your Google Business Profile has accurate contact details and hours
- Your voicemail message tells people what happens next
Where to start
- List every channel customers use to contact you.
- Pick one place where all of them will end up.
- Add an automatic acknowledgement to website enquiries.
- Start a simple quote list with follow-up dates.
