Privacy Policy

1. About WiTEDS and this policy
WiTEDS is the registered business name (WITEDS) of a sole trader, ABN 88 263 506 353, based in Perth, Western Australia. In this policy, “WiTEDS”, “we”, “us” and “our” refer to that business.
This policy explains how we collect, hold, use and disclose personal information when you visit witeds.com, submit an enquiry, request a quote, subscribe to our updates or communicate with us about our services.
Personal information means information or an opinion about an identified individual, or someone who can reasonably be identified. Business contact information can also be personal information.
We respect your privacy and handle personal information in accordance with this policy and applicable Australian law. Where the Privacy Act 1988 (Cth) applies to our activities, we comply with the Australian Privacy Principles. Our commercial electronic messages are subject to the Spam Act 2003 (Cth).
2. Information we collect
Depending on your interaction with us, we may collect:
- Contact details: your name, email address, telephone number and preferred contact method.
- Business and enquiry details: your business name, role, website address, service interests, project requirements, indicative budget and information you provide in a message or attachment.
- Communication records: enquiries, replies, quote discussions, appointments, feedback and privacy requests.
- Marketing preferences: whether you have opted in, your selected communication channels, and records of consent and unsubscribe requests.
- Website information: IP address, browser and device information, pages requested, access times, referring pages and security or error logs, to the extent collected by our website systems.
- Client administration information: billing contact details and records needed to manage an engagement, if you become a client.
We aim to collect only information reasonably needed for the purposes described in this policy. Required fields will be identified on our forms.
Our enquiry forms are not intended to collect sensitive information, such as health information, religious beliefs or identity documents. Please do not include passwords, payment-card details or unnecessary sensitive information. If sensitive information is necessary for a specific service, we will explain why and obtain consent where required by law.
3. How we collect information
We generally collect information directly from you when you submit a website form, email or call us, request a consultation, subscribe to updates or work with us as a client.
Our website systems may also collect technical information automatically through server logs, cookies or similar technologies, as explained in section 7.
If someone contacts us on your behalf, we may receive the information they provide to arrange that contact. Please only provide another person’s information where you are authorised to do so. We will take reasonable steps to make that person aware of our handling of their information where required.
If we receive information we do not need or should not hold, we will assess whether it can lawfully be retained and, where appropriate and lawful, delete or de-identify it.
4. Your choice to provide information
You may browse our website without submitting an enquiry. Where lawful and practicable, you can ask general questions anonymously or use a pseudonym.
We may need your contact details to reply, prepare a tailored quote or provide a service. If you choose not to provide necessary information, we may be unable to fulfil your request. Choosing not to receive marketing does not prevent you from making an enquiry or using our services.
5. How we use information
We use personal information to:
- respond to enquiries and contact you about the request you have made;
- understand your requirements, prepare proposals and arrange consultations;
- deliver and administer services you request;
- send WiTEDS updates and marketing where you have opted in;
- manage communication preferences and honour unsubscribe requests;
- maintain, secure and improve our website and services;
- investigate misuse, resolve disputes and meet applicable legal obligations.
We may use your stated interests to make our own communications more relevant to you. We will not use your information for an unrelated purpose without an appropriate basis under applicable law, including obtaining further consent where required.
AI-assisted responses. We may use AI features in our customer relationship management system, HighLevel’s Conversation AI, to help respond to enquiries, answer common questions and collect the details needed to follow up. These features process the messages you send us and are provided by HighLevel and the technology providers it uses, which may be located overseas (see section 9). A person at WiTEDS remains responsible for handling your enquiry.
6. Marketing and your choices
We may send you information about WiTEDS services, offers, events and practical digital-business updates through the channels you choose. Our approach is to seek a separate, optional opt-in for ongoing marketing.
Submitting an enquiry does not automatically subscribe you to marketing. We may still contact you to answer that enquiry or manage a service you request.
Our marketing emails and messages identify WiTEDS and include a simple way to unsubscribe. You can also contact us using section 15. We will action electronic marketing unsubscribe requests within five working days. We do not charge an unsubscribe fee or require an account login or extra personal information to unsubscribe. The unsubscribe facility remains available for at least 30 days after a marketing message is sent.
After you unsubscribe, we may retain a minimal suppression record to prevent further marketing. Essential enquiry or service communications may continue, but will not be used to bypass your marketing preferences.
7. Cookies, website measurement and embedded services
Cookies and similar technologies can support website functionality, remember preferences, protect forms from abuse or measure website use. Some embedded features may connect your browser to an external provider and transmit technical information.
Our current website technologies:
- Website analytics. We use Google Analytics (GA4) to understand how visitors use our website, such as which pages are viewed, how visitors arrived and general device and location information. Google Analytics uses cookies and similar technologies and sends this information to Google. It does not tell us your name or contact details unless you separately give them to us, for example through an enquiry form. You can opt out using your browser’s cookie settings, a browser extension such as Google’s Analytics opt-out add-on, or general privacy tools. See Google’s privacy policy and how Google uses information from sites that use its services.
- No advertising pixels or audience-matching tools. We do not currently use advertising pixels, audience-matching tools or third-party marketing tracking scripts beyond the analytics described above.
- Your display preference. If you choose a light, dark or system display theme, your browser stores that choice so the site can remember it. It stays on your device and is not sent to us.
- Website security and delivery. Our website is delivered through Cloudflare, which provides security and performance services. To do this, Cloudflare processes technical information such as your IP address and may set cookies that are strictly necessary for security. See Cloudflare’s privacy policy.
- Enquiry forms. Our online enquiry forms are provided by HighLevel (GoHighLevel). When a form is displayed, your browser connects to HighLevel, which may set cookies needed for the form to work, and the details you submit are sent to HighLevel on our behalf. See HighLevel’s privacy policy.
- WhatsApp. Links to WhatsApp open a service operated by Meta. Information you send us through WhatsApp is handled under WhatsApp’s privacy policy as well as this policy.
You can manage cookies through your browser settings. Blocking some cookies may affect website features. Any additional choices for analytics or advertising technologies are described with the tools above.
We do not treat browsing this website or reading this policy as permission to receive marketing. If advertising pixels or audience-matching tools are used, their data sharing and available choices must be explained in the description above; those activities are not anonymous merely because names are omitted.
8. When information is shared
We do not sell or rent your personal information, or provide your enquiry details to other businesses for their own independent marketing.
We may allow service providers to process information where needed to operate WiTEDS or fulfil your request. Our current providers are:
- our website and email hosting provider;
- Cloudflare, for website security and delivery;
- HighLevel (GoHighLevel), for customer relationship management, enquiry forms, messaging and AI-assisted responses;
- Google, for productivity tools, file storage and website analytics through Google Analytics (GA4);
- Slack, for internal communication;
- Trello, for project management;
- Meta, for communication through WhatsApp, Facebook and Instagram.
These providers may be third parties even though they process information on our behalf. We limit the information provided to what is reasonably necessary and take reasonable steps to require appropriate confidentiality, security and restrictions on its use.
We may also disclose relevant information to professional advisers under confidentiality obligations, where you specifically authorise a disclosure, or where disclosure is required or permitted by law, such as responding to a valid court order.
9. Overseas processing and disclosure
Some technology providers may store information outside Australia or allow support personnel overseas to access it.
Several of the providers listed in section 8 (HighLevel, Google, Slack, Trello, Meta including WhatsApp, and Cloudflare) are based in, or may store or process information in, the United States and other countries. AI features provided through HighLevel may also be processed by its technology providers overseas.
Where we disclose personal information overseas, we take reasonable steps to assess the recipient’s handling of information and put appropriate protections in place. Where the Privacy Act applies, we meet applicable cross-border disclosure obligations, subject to lawful exceptions.
This policy does not ask you to waive protections under Australian privacy law simply by using our website.
10. Storage and security
We hold personal information in the electronic systems used to manage our enquiries, correspondence, client records and website operations, including systems operated by our service providers.
We take reasonable technical and organisational steps to protect it against misuse, interference, loss and unauthorised access, modification or disclosure. Our safeguards are appropriate to the information and risks involved, and access is limited to people who need it for authorised purposes.
No online service or transmission method is completely secure. Please contact us promptly if you suspect information you have provided to us has been compromised.
11. How long we keep information
We retain information for as long as reasonably needed for the purpose for which it was collected, including follow-up, an active client relationship, applicable record-keeping obligations and the resolution of disputes.
We review whether older enquiry records are still needed. Marketing records are retained while the relevant permission remains current and as necessary to record consent or honour an opt-out.
When information is no longer needed and retention is not legally required, we take reasonable steps to securely delete or de-identify it. Backup copies may remain until the relevant backup cycle expires, with access restricted in the meantime.
12. Access, correction and deletion requests
You can contact us to request access to personal information we hold about you, ask us to correct it, or ask us to delete information we no longer need. Please provide enough detail to help us locate the relevant records. We may reasonably verify your identity before releasing or changing information.
We aim to respond within 30 days. If additional time is needed, we will explain why and give an expected response date. We do not charge for making a request or correcting information. If a permitted, reasonable access charge is necessary, we will explain it before proceeding.
Access or deletion may be limited by legal obligations, the privacy of others or applicable exceptions. Where we cannot fulfil a request, we will explain the reasons where lawful and how you can complain. If we disagree with a requested correction, you can ask us to attach a statement recording your concern.
13. Privacy incidents
If we become aware of a suspected privacy or security incident, we will assess it, take reasonable steps to contain it and reduce potential harm, and consider any notification obligations.
Where the Notifiable Data Breaches scheme applies and an eligible data breach occurs, we will notify affected individuals and the Office of the Australian Information Commissioner as required. A notification will explain the incident, the information involved and recommended protective steps.
14. External websites and client systems
External websites linked from our site have their own privacy practices. Review their policies before providing information to them.
When we manage a website or system on a client’s behalf, that client’s privacy notice and our service arrangements may also apply to information collected for that client. This policy primarily describes information WiTEDS collects for its own website, enquiries and business relationship with you.

Please describe your concern and the outcome you are seeking. We will acknowledge your complaint, investigate the circumstances and aim to provide a response within 30 days. If we need more time, we will keep you informed.
If you are dissatisfied with our response, or have not received a response within a reasonable period, you can contact the Office of the Australian Information Commissioner. Its ability to investigate depends on whether the matter falls within its jurisdiction. You can report concerns about unsolicited commercial electronic messages to the Australian Communications and Media Authority.
16. Changes and availability
We may update this policy to reflect changes to our services, practices or legal obligations. The current version will be available on our website with its effective date. Where a change requires a separate notice or consent, we will provide that notice or seek that consent.
An update does not itself give us permission to use previously collected information for an unrelated purpose. You can request a free copy of this policy using the contact details above.
